Who handles your information

What we collect and why

• Trade accounts: your authenticated account identifier and email, business name, contact name, telephone number and address. We use these to assess applications, identify your account and administer our business relationship.
• Customer basket: product choices and quantities are kept in this browser’s local storage until you remove them or clear browser data. The customer order form creates an email or WhatsApp draft; you must send it to request an order. Contact details are not stored in the browser basket.
• Trade baskets and orders: selected products, quantities, delivery information, notes, order status, invoice link, amount and due date. We use these to respond to requests, fulfil agreed orders and keep business records.
• Enquiries: information you choose to send by email or WhatsApp. The contact form opens a draft in your chosen service; you must send it there. The website does not store that draft as a submitted enquiry.
• First-order offer: when available, your first name, email, unique code, request and send times, marketing choice and redemption reference are stored to send and manage your requested offer. Codes are emailed through Brevo when connected. Newsletter consent is optional and separate. Abuse-prevention counters use hashed identifiers. Newsletter: your email address and sign-up date, collected when you tick the consent box. Signing up is optional and separate from a trade account.

We rely on steps towards a contract and performance of a contract where applicable, legitimate interests in responding to business enquiries and managing trade relationships, legal obligations for required records, and consent for newsletter marketing. Please do not include sensitive personal information in form messages.

Services involved

The website, sign-in and database use OpenAI Sites and its hosting infrastructure, including Cloudflare. These services process technical information needed to operate and secure the site. Authorised staff can access trade information to manage applications and orders.

Payments take place on PayPal. We retain invoice references and manually recorded payment status, but do not collect payment card details. If you choose WhatsApp, email, social or press links, those services process information under their own privacy notices. Delivery providers receive the information needed to deliver an accepted order.

External services may process information in other countries. Their privacy information describes their processing arrangements. Contact us for questions about the service providers used for your order.

How long we keep information

We retain information for as long as needed to handle your enquiry, manage an active account or order, and meet applicable accounting, legal and dispute-resolution requirements. Retention depends on the record and purpose; closing an account does not necessarily remove records we must retain. Contact us to request closure or deletion.

You can withdraw newsletter consent at any time by emailing chris@rubterra.com with “Unsubscribe”. We will stop newsletter marketing and retain only information needed to respect your preference or meet a legal requirement. Withdrawal does not affect earlier lawful processing.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information and object to processing based on legitimate interests. We may need to verify your identity. Contact us using the details above; you can also complain to the Information Commissioner’s Office (ICO).
